How to Use the Busy Search Function in Groupwise

This is only useful if the acct you are querying is on Groupwise and if they keep their calendar up in Groupwise

 

1. Open up your Groupwise Program

2. Click on the “Make Appt” tab

3. Input the appt duration time to what you will require and specify the first possible day for the meeting in the “Start Date” box.

4. Click on “Busy”

5. Click on the “address book” function and select who you want to invite to the meeting. If you will be attending the meeting, select yourself. If you need a specific room that is scheduled via Groupwise as a resource, select that too. Click OK.

6. You will see the names of the people/resources you invited listed in the first box (if you selected any for cc or bc, they will be listed too)

7. Click “OK.” It will take a little bit of time for everyone’s schedules to show up.  If you see an “i” in a circle next to the name, you will be able to see information on appts listed, otherwise, they will appear as “busy” (this depends on how their proxy is set up).  People appearing in grey are not on groupwise

8. If you click on “auto-select” your cursor will go to the first time that is available for all parties. Continue to hit autoselect and you will be shown more mutually convenient times. When you find the appt time you prefer, click “OK” and then “OK” again to send the appt.

 

Please note, that you can set your groupwise calendar items to show up as Busy, Tentative, or Free*

 

*About Show Appointment As

 

Use Show Appointment As to change the level of availability displayed for an appointment in Busy Search and on your Calendar. For example, you might want to display a blood drive from 9 a.m. to 2 p.m. for a given day on your Calendar so you don't forget when you can donate. However, you are still available to be scheduled for meetings, and don't want 9 a.m. to 2 p.m. to show as Busy when someone does a busy search on you. In this case, you would change the appointment Show As type to Free.

 

By default, appointments show as Busy for primary and BC recipients and Free for CC recipients. The sender can specify a different Show Appointment As status for an appointment. The recipient can also change the Show Appointment As status for an appointment received, either when he or she accepts the appointment or later from his or her Calendar.

 

The following Show Appointment As statuses are available:

 

Free means that the appointment will show on your Calendar, but will not be marked as Busy in Busy Search. This is useful for users who want to be aware of the time of an event, but who are still available to be scheduled for a meeting. Free is also useful to those who for security reasons do not want their meeting times visible in Busy Search.

 

Tentative means that you will probably attend the appointment, but that dependencies or other factors could prevent your going.

 

Busy means that you are not available to be scheduled for a meeting.

 

Out of Office means that you are not available to be scheduled and that you probably can't be contacted. The difference between Out of Office and Busy is that with Busy, you can still be reached in emergencies. If you are out of the office, a person trying to locate you needs to check your schedule to find out where you are before attempting to call you
